Legal
Privacy Policy
How QH Accountants Ltd collects, uses and protects your personal information under the UK GDPR and the Data Protection Act 2018.
Template notice: this policy is a starting point drafted for an accountancy practice. Have it reviewed against your actual data processing, retention periods and ICO registration before you publish the site.
Who we are
QH Accountants Ltd (“we”, “us”) is the data controller for the personal information described in this policy. You can contact us at hello@qhaccountants.uk or by post at 208 Roundhay Rd, Harehills, Leeds LS8 5AA.
The information we collect
- Enquiry details — your name, phone number, email address, business name and anything you tell us in the enquiry form.
- Client records — where you become a client, the financial information needed to provide our services: accounting records, tax references, payroll data and identification documents.
- Identity verification — documents and checks required by the Money Laundering Regulations 2017.
- Technical data — basic, anonymised information about how the website is used, in order to keep it working properly.
Why we use it, and our lawful basis
- To respond to your enquiry — on the basis of our legitimate interest in answering people who contact us, and to take steps at your request before entering a contract.
- To provide accountancy services — performance of our contract with you.
- To meet legal obligations — anti-money laundering checks, record retention and reporting duties imposed on accountants by law.
Who we share it with
We share personal data only where it is necessary: with HMRC and Companies House when filing on your behalf; with the software providers we use to keep records and file returns; with our professional advisers and insurers; and where the law requires it. We do not sell your data, and we do not share it for marketing.
How long we keep it
Client records are normally kept for six years after the end of the engagement, in line with HMRC and professional body requirements. Enquiries that do not become clients are deleted within 12 months.
Your rights
You have the right to ask for a copy of the personal data we hold about you, to have inaccurate data corrected, to ask us to delete it where we are not required to keep it, to restrict or object to certain processing, and to receive your data in a portable format. To exercise any of these, email hello@qhaccountants.uk.
If you are unhappy with how we have handled your data, you can complain to the Information Commissioner’s Office at ico.org.uk, though we would appreciate the chance to put it right first.
Cookies
This website uses only the cookies necessary for it to function. We do not use advertising or cross-site tracking cookies. If analytics are added in future, this policy will be updated and consent will be requested first.
Security
Your information is held on access-controlled systems, transmitted over encrypted connections, and available only to the people who need it to do the work. Where we use third-party software, we satisfy ourselves that it meets an appropriate standard.
Changes to this policy
We review this policy periodically. Any material change will be posted on this page with a revised date.
